Available to: Customer or Partner workgroups with "new" file UI enabled.
The updated file tagging features in this release are meant to streamline the way file tags are used, and to provide a central place for the management of available file tags for a particular workgroup.
*Note: Tag management (create, edit, delete) is available only for role(s) that have the “Manage document settings” permission set to CAN. Normally, Workgroup Manager or Workgroup Admin have this permission already enabled. However, all users can utilize the non-management aspects of the tagging feature.
To improve the efficiency of the File Tagging feature, and allow workgroup admins and managers to control tag names, only those tags that are set up on the File Tags page under My Group > Collaboration Options > Files will be available for your workgroup members to use.
After the release of this functionality, any tags that are already in use on an existing project will be added to and included in the list of available tags on your Files management page.
The Files management page is where you can create new tags, edit existing tags, or delete unnecessary tags. Any tags that are deleted from this list will not have any effect on the files that have already been tagged with these deleted tags, however any new files cannot be tagged with deleted tags.
Tags can also be created on the fly as needed by users with the “Manage document settings” permission set to CAN. Simply navigate to the Files > List page of a particular project, and create a tag. Note that this operation is unchanged and works the same as before the release of the new management functionality.
To create a tag in your project, click +Add Tag, and type your tag name into the text field at the top of the file tagging pop-up.
Tags from your File Tags page that match your entry will begin to populate for you to select:
Continue typing to create the new tag (press Enter to add to your File Tags list):
User created tags are displayed at the top of the pop-up list with the light colored background. The tags below in blue are spec tags:
Supplier/Client
Supplier workgroups will follow and use the file tags setup in the related outsourcer/buyer workgroup. Any client workgroups will follow and use the file tags setup in the outsourcer workgroup, plus the client can create his/her own file tags for that client workgroup.
