Default File Sharing Preferences
The default sharing settings for newly uploaded files are configured under:
My Group → File → Sharing Preferences
There are three available options:
- Myself – The file is only visible to the uploader. It is not shared with anyone else.
- Project Team – The file is shared with all team members within the same workgroup as the uploader.
- Everyone – The file is shared with all members of the project, across all workgroups.
- If a new member joins the project after the file has been uploaded, they will automatically gain access to the file.
Note: When a new workgroup is created, the default sharing preference is set to “Myself.”
Files List
For each project, all files are managed through the File List section. You can access this in two ways:
- From the left navigation menu: Files → List
- From the Files deskoid on the Project Overview page
All files can be viewed in list view or grid view. To toggle between each view, click on the corresponding buttons at the upper right corner.
Understanding the File List
The total number of files uploaded for the project is listed at the top right corner of the list TABLE. Each row in the file list represents either a file that has been uploaded or a folder that has been created. The total number of files per project is listed at the top right hand corner. To see the files within a folder, click on the folder name.
- Name
The name of the file or folder. This field is inline editable for quick renaming. User can sort the list alphabetically by name. Folders will always appear at top the of list, followed by individual files. - Members
Indicates who has access to the file.- “All” means the file is shared with everyone in the project.
- Otherwise, individual user icons represent specific members who have access.
- Type
The file extension (e.g., .pdf, .png, .docx). - Comments
This field is inline editable. Users can add any comments related to the file.- Any tags from previous file versions are automatically converted and placed here.
- For a folder, the comment include the total number of files within that folder.
- Created By
The name of the user who originally uploaded the file. - Created On
The date and time when the current version of the file was uploaded. By default all files are sorted by this time, with the most recently uploaded file at the top. - Sharing (icon)
Indicates the file’s current sharing status.- The default sharing preference is applied at upload, but users can manually update it by clicking the icon.
- Updating the sharing preferences of a folder will update all the sharing preferences of the files within that folder. Whatever sharing preferences that exist before will be overwritten by the new sharing preferences.
- Download (icon)
Click to download the current version of the file. - Additional Actions (ellipsis menu ⋯)
Options include:- Move – Move the file or folder to a different location
- Versions – View or manage different versions of the file
- Delete – Remove the file or folder from the project. Only the creator of the file can delete it.
- Bulk Actions
Users can apply actions such as sharing preferences, download, move, and delete to multiple files or folders at once.
To perform a bulk action:
- Check the box in front of each file or folder you want to include.
- Use the available action buttons in the toolbar at the top of the list. The selected action will be applied to all checked items.
To upload a new file, users can either:
- Click the “Upload Files” button, or
- Drag and drop a file directly from their desktop into the file section.
To create a new folder, click the “New Folder” button and enter a name when prompted.
To upload a link, click on the “Upload Link” button.
Search Filter
Users can search for specific files or folders within a project using the search textbox. Simply enter a keyword, and Noosh will automatically display any matching folders and/or files.
The search criteria include: (1) File or folder name; (2) File type; (3) Comments
In the example below, the user enters "screen" in the search box. Noosh returns two results:
- A folder named “Screenshots”
- A PNG file named “Screenshot 2025-03-20 153838”
Below each result, Noosh displays the folder path where the file or folder is located.
Other Filters
In addition to using the search textbox, users can narrow down file results using the following filters:
- Members
Select one or more project members to view files that are shared with those specific individuals. - Types
Choose from a dropdown list of file categories (e.g., Images, Documents, etc.) to view files belonging to file type.
For example, the Images category includes files with extensions such as .png and .jpeg. - Created By
Select one or more project members to view files uploaded by those individuals.
Folders will replace tags from previous file version.
Any tags used in the previous version will be automatically converted and stored un “Comments” in the new version. By default, all newly uploaded files will be replaced in the root folder (All Files), unless specified otherwise. Folders can be nested, but Noosh supports a maximum of two folder levels, not including the root folder. Any members who has permission to create/edit files can create/manage folders as well. The same folder structure exists amongst all members of the project as long that member has permission to view the file(s).
Users can move files between folders using one of the following methods:
- Drag and Drop – Drag the file directly into the desired folder.
- Move Operation –
- Click the ellipsis (⋯) next to the file or folder.
- Select Move from the menu.
- Choose the destination folder from the list.
Project overview
The “Files” deskoid on the project overview page will mimic the Files -> List from the left navigation menu. User can perform actions such as upload files, change sharing preferences or search for files within the project. Any changes to the filters or files should be in sync with the File -> List page.
Workspace -> Files
Users can continue to search for files across various projects in Workspace -> Files. With the changes from tags to folders, users can search files within a folder with a specific name.
Copy Project
When copying a project containing files, users now have the choice to either copy the selected files with their folder structure intact (Folders with Files) or simply copy the files all into the root folder (Files Only).
Note: In addition to supporting folder-level copying, a key change to file copying is that the new project will always use the updated V3 file UI—regardless of the file UI version in the original project.
